Objective. Students will use a digital field-service workflow to create a work order, document diagnostic findings with photos, capture a customer electronic signature, and submit a completed job record with all required fields.
This lesson, its worked examples and its practice questions has not yet been verified by a credentialed professional in the field or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.
VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.
Paper-based job records get lost, smudge, and cannot be searched. Digital field-service documentation solves those problems and creates a permanent, auditable trail that protects both you and your customer. The Professional Service Association (PSA) treats professional documentation as a core competency, and employers expect technicians to arrive on a job site already comfortable with a digital workflow. Done correctly, a complete job record also reduces billing disputes, supports warranty claims, and speeds up parts reordering.
Every work order you create must capture a standard set of information before you close the job. Missing even one field can delay payment or create a liability problem. Required fields include:
Think of these as a checklist, not a suggestion. The field-documentation checklist used in this course mirrors what PSA-certified professionals are expected to produce.
Open your field-service software and select New Job or the equivalent command. Enter customer data first; most platforms auto-fill address and contact details if the customer exists in your database. If this is a new customer, add all fields before moving forward — trying to add customer data after you have entered parts is slower and error-prone.
Next, enter the appliance information. The model and serial number are critical. Many parts are model-specific, and a wrong serial number can cause the wrong part to be ordered. Read the rating plate carefully; serial numbers sometimes contain letters that look like numbers (the letter O versus zero, for example).
Write the diagnosis in the notes or diagnosis field using clear, complete sentences. "Compressor failed" is too vague. A better entry: "Compressor does not start; start relay clicks and relay rattles when shaken, indicating failed relay. Replaced relay; compressor now runs within 5 seconds and holds operating pressure."
Attach at least one photo to every job record. Capture the fault before you repair it — a burned terminal, a seized fan motor, a cracked door seal. Use your device's camera, then open the photo in your field-service app and annotate it by drawing an arrow or adding a text label pointing to the defect. Annotations prevent any later confusion about what the image shows. Name or caption the photo clearly (e.g., "Start relay — failed, rattles").
In the line-items section, add each part on its own line. Include the part number, a brief description, quantity, and unit price. The software will calculate the line total; you are still responsible for verifying that the math is correct before submitting. Add a labor line item separately, entering the billable time and your labor rate. Do not lump parts and labor together — itemized billing is both professional and often legally required by state consumer-protection rules.
Before you present the device to the customer, review the total with them verbally. Point out what parts were replaced and what the labor charge covers. Then hand or turn the device toward the customer and ask them to sign in the signature field using their finger or a stylus. Confirm that their name displays correctly above or below the signature box. The e-signature constitutes the customer's authorization and acceptance; it carries the same legal weight as a handwritten signature under the federal Electronic Signatures in Global and National Commerce Act (E-SIGN Act). Never sign for the customer or skip this step because the customer is in a hurry.
Set the job status to Closed only when all work is finished and payment or payment terms are arranged. Export the record as a PDF and review it against your field-documentation checklist before you leave the job site or submit to the office. Corrections made on-site take seconds; corrections made later may require a follow-up call to the customer.
Even during the documentation phase, safety rules apply. Never photograph the inside of an energized appliance while reaching into it — de-energize and apply lockout/tagout before any internal access. Keep your device away from water and wet surfaces in laundry and kitchen environments. If you are photographing a refrigeration component and you suspect refrigerant has leaked, ensure adequate ventilation before spending extended time near the unit. Wear appropriate PPE whenever the appliance is open, even if your primary task is documentation.
The PSA Certified Appliance Professional credential assesses whether you can perform the full job cycle, including professional documentation. Employers who hire PSA-certified technicians expect records that are complete, accurate, and submitted promptly. Developing disciplined documentation habits in this program prepares you both for the exam and for every job you will run in your career.
Answer each question, then check it. Nothing is recorded; this is your own practice.

Does the school offer financial aid?
No. We don’t offer financial aid because we’re free. No, really: completely free.
Do you offer industry certification?
No. We are not certified yet, so we can’t offer that to students. What we do offer is knowledge and understanding of a trade.
Enroll first in the trade you’re interested in. You get your key, your program opens, and you begin studying.
