Objective. Students will manually calculate room charges, taxes, adjustments, and running folio balances with no more than one arithmetic error across a ten-transaction set.
This lesson, its worked examples and its practice questions has not yet been verified by a certified food-safety manager and industry professional or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.
VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.
Every dollar a guest pays—or disputes—passes through the guest folio. A folio is the running record of every charge, payment, and adjustment attached to a single guest stay or group account. Errors on folios delay checkouts, trigger chargebacks, and damage guest trust. Supervisors and front desk representatives are expected to catch arithmetic mistakes before a bill reaches the guest, so manual calculation skill is not optional—it is a baseline competency tested by AHLEI credentials and by employers during hiring.
A folio begins the moment a reservation is created or a guest checks in and a room account is opened. Every transaction is posted—entered into the folio in chronological order. The folio carries a running balance, meaning each new posting is added to or subtracted from the previous total. At checkout, the balance should reach zero after final payment is applied.
Folios commonly contain:
In hotel accounting, charges that increase what the guest owes are debits; items that decrease what the guest owes are credits. A discount or rate adjustment appears as a credit. A payment appears as a credit. A room charge or outlet transfer appears as a debit. Keeping this distinction clear prevents the most common folio errors.
The room charge for each night is the contracted or rack rate. Tax is calculated as a percentage of that rate:
Tax amount = Room rate × Tax rate
Total nightly posting = Room rate + Tax amount
Tax rates vary by state, county, and city; always use the current reference card for your property's jurisdiction. Never guess or round a tax rate—even a fraction of a percentage point compounded over hundreds of folios creates a significant accounting discrepancy.
When a charge must be corrected, a supervisor posts an adjustment. An adjustment entry shows the corrected amount as a negative figure on the folio so the running balance decreases by exactly the amount of the error. Then the correct charge is reposted. Common reasons for adjustments include:
Adjustments above a set dollar threshold typically require a supervisor authorization code. This internal control limits exposure to fraud.
After each posting, recalculate:
New balance = Previous balance + Debit postings − Credit postings
Work through every line in order. The most common student error is adding a credit instead of subtracting it, or vice versa. Label each line D (debit) or C (credit) before you calculate—this single habit eliminates the majority of folio arithmetic errors.
During the night audit, the property management system (PMS) rolls the date, posts all room charges and taxes, and produces trial balance reports. Front desk staff reconcile those system-generated totals against source documents (outlet reports, shift transaction logs). Any discrepancy must be traced to a specific posting and corrected with a documented adjustment—never by altering an original entry. Altering source records without documentation is a serious compliance violation and can constitute fraud.
Folios contain personally identifiable information (PII): guest names, credit card last-four digits, and stay dates. Printed folio worksheets and practice documents used in training must be shredded after use—do not leave them in open waste bins. In a live property environment, access to folio data is controlled by PMS login credentials; never share your login or view another employee's access-level screens without authorization.
A spreadsheet does not replace the ability to calculate by hand, but it is a powerful verification tool. Build your folio template so that each row represents one posting and a formula column maintains the running balance automatically. When your manual totals and spreadsheet totals disagree, trace every line until you find the source of the variance—do not simply accept the spreadsheet figure. Computers reflect the data you enter; garbage in, garbage out.
The AHLEI Front Desk Representative and Hospitality Supervisor competencies both include basic accounting accuracy. The standard used in this program—no more than one arithmetic error across a ten-transaction set—mirrors the professional expectation that front desk staff post with near-perfect precision before submitting a folio to a guest.
Answer each question, then check it. Nothing is recorded; this is your own practice.

Does the school offer financial aid?
No. We don’t offer financial aid because we’re free. No, really: completely free.
Do you offer industry certification?
No. We are not certified yet, so we can’t offer that to students. What we do offer is knowledge and understanding of a trade.
Enroll first in the trade you’re interested in. You get your key, your program opens, and you begin studying.
